Despite all the modern conveniences of the digital era, we seem to grapple with more stress than ever before.
The constant juggle of heavy workloads, deadlines, obligations, and the persistent worry that we can’t keep up with life’s demands has made stress an unavoidable companion in our lives.

For some, the pressures and demands of work have started to affect both their mental and physical health. This occupational stress is linked to various health issues, such as:
- Cardiovascular diseases
- Depression
- Type 2 diabetes
- Insomnia
- Alcoholism
- Smoking
- Unhealthy weight changes
In addition to occupational and daily stress, there’s also the strain that comes from uncompleted tasks and goals. This is due to something called the Zeigarnik effect.
Understanding the Zeigarnik Effect
Did you know that our minds naturally fixate on things we need to do and tasks that must be completed due to a psychological phenomenon known as the Zeigarnik effect?
This basically means that uncompleted tasks linger in our minds until they are finished.
So, you can imagine how stressful it can be to have multiple tasks left uncompleted. This is where effective planning plays a crucial role in reducing stress and maintaining focus.
And what better way to start planning and staying organized than by creating to-do lists and using task planners?

A 2020 study revealed that, on average, we have more than 6000 thoughts daily. That’s a lot! What’s even more interesting is that our brains continue to process thoughts even during rest or while we’re watching a movie.
Moreover, personality traits can also play a role in brain activity.
For instance, those with higher neuroticism (a tendency to be more anxious or easily stressed) tend to have an even more active and noisy mind.
So, whether you’re a student, working full-time, or managing tasks from home, incorporating to-do lists will definitely have a positive impact on your life and help you manage some of those daily thoughts.

As the name suggests, a to-do list is a written or digital list of tasks that you need to complete. It can encompass anything from daily chores to work-related projects and is a great way to stay organized.
Why Is It Important to Create To-Do Lists?
There are so many benefits to incorporating to-do lists into your daily life. They can:
- Reduce Stress: With over 6000 daily thoughts, uncompleted tasks can add stress. Writing them down in a journal or digitally transfers those thoughts from your mind to paper or screen. If you’ve never done this, you might feel pleasantly surprised by the instant relief it gives you!
When I feel overwhelmed with tasks, I get so stressed that I don’t even know where to begin. As a result, nothing gets done. But when I jot them down in a journal, they no longer press on my mind. Instead, they’re neatly organized in my journal. It’s like a mental decluttering process that allows me to regain control and tackle tasks with a clearer perspective.

- Minimize the Risk of Forgetting: The stress of modern-day life can make it easy to forget tasks. This is why it’s good to write them down. Not only does it minimize the risk of forgetting, but it also reduces stress and mental clutter.
- Allow Prioritizing: It can feel overwhelming to juggle multiple tasks, especially when you don’t know which one to prioritize first. This is where a to-do list comes in handy. It helps identify important tasks, those that can wait, and what can be skipped.

There are so many strategies and tips for how to create effective to-do lists, so the key is to find what works best for you. Given our unique differences, there’s no one-size-fits-all approach.
Here are some tips to get started:
- Brain Dump: Jot down every task, big or small, to clear your mind. This “brain dump” gets everything out of your head and onto paper or screen.
If you prefer writing (like me) rather than using digital tools, you may find it easier to categorize tasks in a notebook to keep it more organized.

- Prioritize Your List: Rank tasks according to high, medium, and low priority. This allows you to prioritize what needs to be done first, which can make the process less stressful and overwhelming.
- Break Up Bigger Tasks: Divide large tasks into smaller, manageable steps to avoid feeling overwhelmed. For example, if you’re going to deep clean your kitchen, you can break up the tasks into different days.

- Be Specific: It’s also important to clearly define each task. Being specific helps maintain clarity. So, instead of writing ‘Garage Project’, consider using ‘Finish painting and organizing the garage.’
- Be Flexible: Life is unpredictable and sometimes things happen that are out of our control. For example, maybe you had planned to dedicate your evening to organizing your closet but got stuck in a traffic jam for hours on your way home from work. This is why it’s important to be flexible so that you can reschedule tasks if unforeseen events occur.
- Don’t Overburden the List: Avoid overwhelming yourself by putting too many tasks on your list. It’s easier to focus, be motivated, and accomplish things when you don’t put too much pressure on yourself. A healthy dose of pressure can be motivating, but too much pressure may end up doing more harm than good.

According to one review, being very clear about the when, where, and how to achieve a specific goal is good, but it doesn’t always make you follow through unless you have an existing intention (or willingness to form one) to actually pursue the goal.
Also, making plans is more effective if you look at your current life and think about how achieving your goal will improve it.
- Helps You to Keep Track of Progress: Task planners enable you to keep track of your progress over time. For example, if your goal is to exercise three times a week, you can easily monitor your success. This helps you stay on course. If you’re not making progress, you can make necessary adjustments, such as reducing your weekly exercise to twice a week if that is more realistic for your schedule.
- Inspires Personal Growth: Task planners are very versatile. You can include anything important to you. Whether it’s a section for daily gratitude, habit tracking, or journaling your thoughts, these things can inspire personal growth and enhance your overall well-being.

If you’re not familiar with using task planners, it can take some time to get used to. The best way to incorporate this new habit into your life is to pair it with an existing habit.
For example, if you typically enjoy eating lunch while scrolling through your phone, consider using some of that time for your planner instead. By consistently using your task planner during your daily lunch break, it will soon become a natural habit.

The choice of tools for creating to-do lists and task planners is vast, catering to various preferences and needs. I don’t personally use digital tools or apps for to-do lists or task planning, but here’s a list of some popular options:
- Todoist: A top-ranked productivity app that allows you to create, organize, and personalize tasks, remember deadlines, and highlight the most important tasks of the day. They have a free plan for beginners.
- Asana: This is a versatile tool that can be used for both to-do lists and task planning. It offers a robust platform for managing tasks, projects, and workflows. You can try their free personal plan.
- Trello: It allows you to create to-do lists and organize them into different categories, priorities, or stages of completion. Trello is effective as a task planner as well, especially for projects with multiple stages or components. They have a free plan.
- Notion: It’s a great tool for to-do lists. You can create pages dedicated to tasks, and add checkboxes, due dates, and additional information to each task. The notion is also effective as a task planner and project management tool. They have a free plan.
- Ticktick: It’s especially adept at crafting to-do lists. It offers users a straightforward process to create tasks, set due dates, prioritize items, and categorize them into lists or projects.
- Notepad or notebook: These are great for those who wish to write by hand. I personally use notepads to make lists (such as grocery lists), and a notebook to write down my to-do list.
How I Stay Organized
Bullet journal: This is my personal favorite. It is an excellent choice for those who want to customize everything to their liking and who prefer handwritten notes.
I’ve used bullet journals for years because they grant me the freedom to decide what to include instead of conforming to a pre-made task planner.
Some tips for selecting a bullet journal:
- Dotted pages are a must
- Ensure the pages are not too thin to prevent ink from bleeding-through the pages
- Choose a journal with soft, easily openable pages since you’ll be doing a lot of drawing and writing.
Staying organized is not just about neatness; it’s a proactive way to care for your mental, emotional, and physical well-being. It creates a foundation for a more harmonious and fulfilling life and is a great form of self-care.
